Protect your reputation before you dispatch.

A 60-minute roof runs 45 some days and 90 on others. Ordinary scheduling packs the day as if every job lands on the average. That's how a plan which looks perfect at 6:00 p.m. falls apart by 2:00 p.m. Voptia Engine plans the day around the spread of inspection times, and shows you the odds before you dispatch.

Tomorrow's stops

A veteran and a new hire are not the same 60 minutes.

Every other routing tool asks for one inspection time per job type and applies it to everyone. On the same hail claim, a twelve-year adjuster is out in 40 minutes and a first-season hire needs 75. Voptia holds a service time per adjuster, so the plan changes depending on who you send.

Industry-leading powerful features.

Building the day

  • One click builds tomorrow's plan for every adjuster on the roster.
  • Maximizes the profit inside the hours available, while cutting driving time and fuel. When there are more claims than hours, it takes the high-value ones first and tells you what it left behind.
  • Honors appointment windows the policyholder or carrier agreed to.
  • Flexible start and end points per adjuster: home, hotel, office, or a different place at each end of the day.
  • Varying inspection times by adjuster.
  • Stays inside the working hours each adjuster desires, with breaks built in if you want them.

Making it hold up

  • Plans that survive one thing running long instead of collapsing like dominoes.
  • You choose the certainty level. Try 90% and see how many claims your firm can carry without the day falling behind.
  • Success odds and lateness risk shown up front: for the whole firm, for each adjuster, and for each individual stop.
  • Routes that reflect real traffic patterns.
  • Meal and paid rest breaks that follow the law of the state being worked, automatically if you turn it on.
  • Licensing respected automatically, so adjusters are only sent to states where they're licensed.

When the day changes

  • Instant re-planning when new claims land, mid-day, in seconds.
  • Map and dashboard views of every optimized route.
  • Connects to the claim management system your office already uses. We can connect to your system, or you can upload a CSV.
  • Web dashboard to upload a CSV, see every location on the map, and run the optimization.
  • Potential return of +500%, depending on how your firm dispatches today.
  • Paid monthly per adjuster, so it stays a variable cost and your cash flow stays positive.

First month up front

You prepay month one. That's the only advance payment there is.

Then billed in arrears

Every month after, you're billed on the number of adjusters you actually optimized.

Scales with the storm

Enter your roster and your visit economics. We show the extra visits per month you would need for Voptia to pay for itself, and how small that is next to the volume your firm already completes.

Scheduling labour per visit

Visits a month = adjusters, times visits per adjuster per day, times working days per month. Scheduling labour = scheduling hours per day, times hourly wage, times working days per month, counted once for the firm rather than per adjuster, because a scheduler's salary is a fixed cost. Net cost = plan fee minus scheduling labour, floored at zero. Break-even visits = net cost divided by profit per visit, counted across the whole firm rather than per adjuster, because the plan fee it has to cover is a whole-firm number. Required uplift = firm wide break-even visits divided by firm wide visits a month. The per adjuster line is that same firm wide figure divided by your roster size.

Cash cost after tax = net cost times (1 minus your effective tax rate). Platform fees are a deductible business expense, so the cash you part with is lower than the invoice. That deduction does not change the break-even visit count: the extra profit those visits produce is taxed at the same rate, so the rate cancels out on both sides of the equation. We show it because it is the number that leaves your bank account, not because it moves break-even.

Break-even counts extra visits only. It ignores the fuel you stop burning, the re-trips you stop making, and the overtime you stop paying. The labour offset assumes the scheduling hours you enter go away once planning is automated.

Tax rate note: the rates listed are approximate combined federal (21%) and state figures based on published statutory rates. Your actual effective rate depends on entity type, taxable income, deductions, and credits. These figures are illustrative and are not tax advice. Talk to your accountant about your own situation.

As a general rule, firms replacing a manual dispatch process see a double-digit uplift, which is why the real ROI often lands in the 3-10x range rather than anywhere near break-even.

The 3-10x range is an illustration of what firms replacing a manual process have seen, not a promise. It is not a guarantee of results, and it is not a forecast for your firm. What you actually get back depends on how you dispatch today, your claim mix, how spread out your territory is, and how closely your adjusters follow the plan. Research has, however, shown empirically that humans are almost never able to outperform an algorithm, even on fairly simple route optimization problems. Adjuster dispatching involves a much more complex web of constraints, so the algorithm's advantage is generally expected to be even larger.

Frequently asked questions

Can we try it before we commit?

Yes. Send us a claim list your firm already worked and your adjuster roster. We'll return the optimized version of that same day: the routes, the stops it would have added, and the on-time odds, so you can compare it against what actually happened.

There is no annual commitment. You prepay the first month and are billed in arrears after that.

Is Voptia Engine easy to use?

The whole workflow is: open it, click it, send it. There is nothing to draw, nothing to drag, and nothing to re-key. A dispatcher who can read a claim list can build tomorrow's plan on their first evening.

How does it save my firm money?

High-quality scheduling (sequence, timing, and routing) raises closed claims per adjuster without hiring, without new licenses, and without touching your fee split.

Because each adjuster is assigned as many claims as possible while driving distance is kept to a minimum, adjuster satisfaction should rise too.

Use the ROI simulator above to see how few extra visits it takes to break even.

Which plan should I choose?

Standard is right for firms with a steady daily assignment flow that plan the next day in the evening, with one optimization a day.

Pro suits firms that need to absorb new assignments and schedule changes as the day moves, with up to ten optimizations a day.

Enterprise is for catastrophe response, where the file count moves hourly and every change is worth a fresh plan.

Does it connect to our claim management system?

Yes. Voptia can connect to your claim management system, or you can use Microsoft Excel files (.xlsx or .csv). If you'd rather not integrate on day one, upload a CSV from the web dashboard and run the optimization from the same screen.

How does it handle licensing and state break rules?

Licensing is checked automatically on every plan, so an adjuster is never scheduled into a state they can't work. Meal and paid rest breaks follow the law of the state being worked, automatically, and only if you turn them on.

Is there a setup fee?

No.

Can it read files built in Microsoft Excel (.xlsx or .csv)?

Yes.

Why does this cost more per month than other route optimizers?

Because Voptia Engine is specifically built for IA firms and uses advanced statistical methods to run optimizations that general-purpose route optimizers can't. Cycle time and on-time inspection rate matter enormously to an IA firm, for example, and as far as we know no other system lets you set adjuster-specific inspection durations and dial route certainty up or down the way Voptia Engine does.

Run the ROI simulator above to see what that can be worth to your firm!
